In this article, we'll review how you can navigate individual contacts within your contact database.
Every contact within your database has their own CONTACT DETAILS page. You can access this by clicking the hyperlink in the FIRST NAME column for the contact.
When you click an individual's first name, their CONTACT DETAILS page will open in a new tab.
You can edit an individual's contact details at any time. To do this, click EDIT CONTACT.
The EDIT CONTACT pop up window will appear. You can amend any of these details in the provided textboxes, then press SAVE CONTACT.
To amend the lists that a specific contact belongs to, click ADD TO LIST.
The REMOVE FROM OR ADD TO CONTACT LIST(S) pop up window will appear.
The lists that this specific contact belongs to will appear in the REMOVE FROM table. To remove them from a list, check the box next to the corresponding list and click REMOVE.
The lists that this specific contact does not belong to will appear in the ADD TO table. To add them to a list, check the box next to the corresponding list and click ADD.
If you click PRINTABLE PAGE, a version of the individual contact's page, formatted for print, will open in a new tab.
CC'S FOR THIS CONTACT refers to anyone that has been assigned to receive CC's of all communications this contact receives from SeatRobot. For example, if you have a contact that is a high-level executive, you may want to add their assistant as a CC. To add someone as a CC, start typing their name into the SEARCH TO ADD CC bar.
If someone's name matches the letters you start typing, they will appear here. Please note, that you can only add people as a CC if they're already in your organization's contact database. Once the contact that you want to add appears, click their name.
The person assigned as CC will appear in this area. Click the X that corresponds with their name if you ever want to delete them as CC.
If you scroll down to the bottom of the individual's contact page, you can see their EVENT HISTORY (ALL INVITES) table. The ATTENDED column details their register history and how they've responded to past invites.
This area contains more information about the contact. You can add a note by clicking the pencil icon.
The ADD A GENERAL NOTE pop up window will appear. Type your note into the textbox, then click ADD NOTE.
There are four numbers assigned to each contact which are updated whenever they are invited to an event, as follows:
- SCORE: This is an 'engagement score' generated based on the percentage of responses the contact has given to invites to your events. It is weighted to account for contacts who have more invites than others, e.g. a contact who has responded to 50% of only two events in total will score lower than a contact who has responded to 30% of twenty events in total. The higher the score the more consistently engaged with your events over time the contact is.
- RESPONSE RATE: This represents the number of event invites the contact has responded to (either accept or decline), expressed as a percentage. For example, if a contact has been invited to ten events, accepted two and declined one, their response rate would be 30%.
- ACCEPT: This represents the number of events the contact has responded 'accept' to out of the total events they responded to, expressed as a percentage. For example, the same contact as above invited to ten events who accepted two and declined one would have an accept rate of 66%.
- DECLINE: This represents the number of events the contact has responded 'decline' to out of the total events they responded to, expressed as a percentage. For example, the same contact as above invited to ten events who accepted two and declined one would have a decline rate of 33%.
The SEND STATUS panel shows the current send status of the contact (whether they can be emailed). The options are as follows:
-
ACTIVE: By default contacts are marked 'active': they can be added to any invite for any event.
-
DO NOT EMAIL (MANAGER): You can check the DO NOT EMAIL checkbox in this panel to disable the contact from being added to any event invite.
-
DO NOT EMAIL (PERMANENT): Contacts who have a permanent bounce or three temporary bounces can no longer be emailed unless their email addresses are updated or changed.
-
DO NOT EMAIL (UNSUBSCRIBE): Contacts who unsubscribe from all your events can not be emailed until they re-subscribe.
