If you are an admin of an organization with a gold or enterprise level SeatRobot subscription, you can access and customize the default emails that get pre-loaded into every event you create.
When you first set up your SeatRobot account, your email templates are all pre-set with default content that has been designed to work for most events and most organizations. However, you may want to change the language of your default emails, or add information, footers, disclaimers etc. that are specific to your organization.
To do this, make sure you're in the admin portal (denoted by the cogs icon).
Navigate to EMAIL TEMPLATES.
You will land on a blank email table. Click CHOOSE TEMPLATE.
A drop down menu will expand, with all the different emails contained within SeatRobot. Click the email you want to edit. For example, I'll edit the TICKET CONFIRMATION.
This will open up SeatRobot's default ticket confirmation template. You can use the toolbar to edit the formatting, style and merge fields contained within this email. You can also edit the subject line. For more information on this process, refer to How to Compose Emails with SeatRobot.
Once you've amended your template, we highly recommend clicking SEND TEST EMAIL. This will send a test email to the current user. You can check your email, and confirm that it looks exactly how you want recipients to see it.
We also recommend never deleting the YOUR REGISTRATION BUTTON merge field. This button leads to a guest's personal registration page. If it's deleted, your guests have no way to access that page.
After you've sent yourself a test email, and make any necessary amendments, click SAVE TEMPLATE.
Please note, when you customize and save an email template, that will be the new version that appears as the default in every new event you create. Most emails can be customized once again at the event-level to make them as specific to the particular event as necessary. If you ever want to revert a template back to the SeatRobot default version, open that template in this page (using the instructions above) and click RESTORE DEFAULT.
Please note, changes only affect the template content that appears in new events created after the changes. Email templates used, edited and saved in previous events remain in their last edited state.
