This article is an overview of all of the tools in your guest list, below the Tool Bar and Search Bar.
To start, navigate to GUEST LIST inside your event.
By default, your guest list will display all of the RSVPs to your event, including waitlisted and declined guests.
You can choose to display only certain types of guests by utilizing our display and filter tools.
The checkbox column to the far left is how you select guests.
If you need to select all of your guests, click the checkbox at the very top of the column. This will automatically select everyone currently displayed on the guest list.
The checkbox column is used when you want to change a guest's status or if you want to organize and group guests into categories. To do this, you select the specific guests by checking the boxes that correspond to their names, then click whichever icon is relevant to the task you want to accomplish.
The column under the comment icon is for additional registration questions. By clicking the comment icon that corresponds with a guest, you can edit their responses.
The GUEST OF column allows you to add plus ones to confirmed guests who have been invited. You can see that the icon not available for guests who registered without being specifically invited / guests who are waitlisted or declined.
If you click the icon that corresponds with a guest's name, the ADD / EDIT 'GUEST OF' window appears. If you click ADD GUEST OF, the window expands.
If you don't have the contact information for the plus one available, you can keep them saved as 'Guest of...'
If you do have the contact information, type it into the text boxes, then press SAVE.
After you press SAVE, you'll be redirected back to your guest list. The guest who had a plus one will now have a link number, and they will have a 2 in their confirmation circle, to indicate that they'll be attending the event with a partner.
The plus one who was added will appear in the guest list, with the same link number as their partner, and with a white circle with a green border in their status column.
The notes column allows you to leave notes about any of your guests.
If you click the pencil icon that corresponds with a guest, the NOTES FOR... window will appear. Type your note into the textbox, then press ADD NOTE.
The pencil icon will appear in yellow when a note has been added.
If guests are linked, their link number will appear in the column below the paper clip icon. For more information on this process, refer to our article Linking Guests.
The tags column shows what tags a guest belongs to. By default, all confirmed and waitlisted guests are tagged with the registration button they used to sign up for the event.
If you click the tag icon that corresponds with a guest's name, the UPDATE GUEST REGISTRATION window will appear. If your event has multiple registration options with more than one registration button, you can use this tool to assign them to a new registration button, with or without sending them a new confirmation email.
If you mouse over the tag icon that corresponds to a guest, you can see which tags they've been associated with. For example, this guest, Zoe Kraft, has been tagged with her registration button 'Retreat Registration - Saturday Daytime Only' by default, and she was manually added to the 'VIP' tag.
The next column refers to how the guest registered for the event. The icon with three people indicates that they signed up via the register page. The icon with one person and a tag indicates that they were invited. You can choose to display the guest list in ascending/descending order based on this category by clicking the icon at the top of the column.
If you have a paid event, guests who bought a ticket will be represented by the TICKET PURCHASER icon in this column.
The INVITE NAME column refers to how / what invite the guest received. If the guest registered via the event web page, this column will say REGISTRATION regardless of the name of the button used.
If they registered via an email invite, the name of that invite will appear here. For more information on that process, refer to our article Sending Invites.
You can choose to display the guest list in ascending/descending order based on this category by clicking INVITE NAME at the top of the column.
The next column refers to STATUS.
A green circle indicates that the guest is confirmed. If there is a number in there, it means they are bringing a guest. A blue circle indicates that the guest is waitlisted. A red circle indicates that the guest is declined. They either declined an invite themselves or were manually declined by the event manager.
You can choose to display the guest list in ascending/descending order based on this category by clicking the white circle at the top of the column.
The next column is lists the first name of every guest. You can choose to display the guest list in ascending/descending alphabetical order by clicking FIRST NAME at the top of the column.
Every guest's first name is hyperlinked. When clicked, the EDIT GUEST DETAILS window will appear. You can amend any of these categories by typing the new info into the relevant text boxes, then pressing SAVE.
If a guest asks for their registration for the event to be affiliated with a different email, you can change that email in this window, then press SAVE & RE-SEND EMAIL. This will re-send their confirmation email to whichever email address is in this window, plus anything else you updated.
If you are informed that someone in your guest list has an assistant or partner who should be CC'd on all correspondence, you can add their email in this textbox, then choose your save option.
The next column over is LAST NAME. You can choose to display the guest list in ascending/descending alphabetical order by clicking LAST NAME at the top of the column.
The next column over is COMPANY. If the guest has a company associated with their contact card, or if they entered their company in the registration field when they signed up for the event, it will appear in this column. You can choose to display the guest list in ascending/descending alphabetical order by clicking COMPANY at the top of the column.
