Yes, you can! This is especially useful in two common scenarios:
- Pre-screening: Some events and classes, like a cancer survivorship support group, need to ensure participants meet certain criteria (diagnosis history, stage of treatment, etc.) before they're confirmed a spot. Creating a waitlist-only button lets your team review each interested guest and manually approve them into the group, rather than allowing open, uncontrolled registration.
- Gauging interest: If you're considering a new program, say, a monthly caregiver education series, but aren't sure there's enough demand to justify the cost and staff time, having a waitlist-only button lets you post the event, collect interest, and confirm attendees only once you've decided to move forward.
To create a waitlist-only registration button, you'll create an event as normal. For more information regarding this process, refer to Creating a Free Event.
After you've entered your key information into the REQUIRED DETAILS table, the register button modal will appear. Check the box next to ACTIVATE WAITLISTING.
Once you've clicked ACTIVATE WAITLISTING, you should do the following:
- BUTTON NAME: Name your button. We'd recommend calling it something that indicates to interested guests that registering via this button does not equal guaranteed acceptance to the event.
- DESCRIPTION: Use this space to give more information about the reasons for waitlist-only, and the process once the guest registers this way.
- GUESTS PER REGISTRATION: Refer to Guests per Registration for more information regarding this step.
- MAX REGISTRATIONS WITH THIS BUTTON: Set this to 0 to ensure this is a waitlist-only button.
- DISPLAY ON EVENT WEB PAGE: Ensure this is checked on so people can join the waitlist via the event web page.
- ACTIVATE WAITLISTING: This should already be checked on, per the step above.
- MAX WAITLISTED WITH THIS BUTTON: Type in the maximum number of people you'd want to join the waitlist.
- Once everything matches your preferences, click SAVE INFO.
PLEASE NOTE: You cannot have MAX REGISTRATIONS WITH THIS BUTTON set to 0 and DISPLAY ON EVENT WEB PAGE checked on unless ACTIVATE WAITLISTING is checked on. Therefore, we'd recommend checking ACTIVATE WAITLISTING before proceeding with the remaining steps.
To see how this waitlist-only button appears on your event web page, navigate to WEB PAGE, then click PREVIEW EVENT WEB PAGE.
This is what my event web page looks like. If people want to be pre-screened for my event, they would register by clicking the button I AM INTERESTED - WAITLIST.
When people register via this button, they will receive the WAITLIST CONFIRMATION EMAIL. Your organization will have a pre-set template for this email, but we highly recommend customizing this email according to your event preferences.
